MXM Sistemas reinforces partnership with Senac

The partnership between Senac and MXM Sistemas is stronger than ever! In a presentation aimed at partners and employees of MXM Sistemas, Giulliano Cassio de Souza Rosa – Director of the Integrated Management System of Senac Mato Grosso do Sul – presented the Institution and demonstrated the advantages acquired with the business management platform of MXM.

About Senac:

Founded in 1946, the National Commercial Learning Service (Senac) is the main professional education agent focused on the trade in goods, services and tourism sectors. Present in more than 1.800 municipalities from north to south of the country, Senac transforms the lives of millions of Brazilians through school units, educational companies (school hotel, school restaurant, school gas station and school supermarket) and mobile units (school truck in inland cities and the school ferry at Senac Amazonas).

Its portfolio includes on-site and distance courses in various areas of knowledge, ranging from initial training to postgraduate studies, allowing students to plan their professional career with a perspective of continuing education.

In 2020, Senac served 1 million people between enrollments and extracurricular assistance.

The institution exists for a compulsory 1% revenue, collected from the commerce payroll. On the other hand, 2/3 of this tax collection is returned in free activities promoted by Senac.

The regional Senac Mato Grosso do Sul (Senac-MS) is responsible for developing the educational system, which is already operating in eight Senac units. In addition, Senac-MS manages the technological solutions used by Senac units, including the business management platform developed by MXM Sistemas. Currently, MXM-Webmanager manages the back-office of most Brazilian regional offices and the standardization of the system in all branches is among one of Senac's main goals.

Training offered by Senac:

Senac offers four types of training programs:

  • Senac Free Program: the institution offers, at national level, free and quality professional qualification for those who want to take their place in the labor market. It serves professionals from beginners to those who already have some experience.
  • Senac Companies Program: Senac supports the improvement and development of companies through consulting solutions and customized training to meet the needs of companies in the following segments: beauty, aesthetics and well-being; hospital hospitality; health; sustainability; supermarkets and conveniences; information technology and design; tourism and gastronomy; and commerce. 
  • Senac Trade Program: the program has 110 products organized within training tracks, in-person and distance training, for commerce in the areas of marketing and sales, finance, logistics and foreign trade.
  • Senac EAD: the national distance education network has more than 300 centers of activities across the country. The institution provides around 200 training titles in the areas of open and technical courses, undergraduate, graduate and university extension courses.

Senac's governance model:

Within Senac's fiscal councils, national and regional, there is the work of labor unions of businessmen and workers. In addition, the government bodies themselves are part of the deliberative supervisory board.

Senac's National Administration is formed by three spheres:

  • Fiscal Council: supervisory body for public funds, arising from compulsory revenue, at the national and regional level. In addition to this internal inspection, Senac is also audited by the TCU (Court of Accounts of the Union) and CGU (General Comptroller of the Union).
  • National Council: deliberative body. The biggest representative as National Administration is the CNC (National Confederation of Commerce).
  • National Department: executive body of policies and standards applied in the country. The national headquarters are in the city of Rio de Janeiro.

In parallel, in each state there is a regional administration composed of two blocks, one deliberative and one executive:

  • Regional Council (deliberative): Fecomércio-MS (Federation of Commerce of Mato Grosso do Sul), made up of Sesc (Social Service for Commerce), Senac and IPF (Institute for Research and Development) is an example of this regional action.
  • Regional Department (executive): Senac Mato Grosso do Sul is an example of a regional department.

Senac and MXM Systems:

The partnership between the companies began in 2001, when MXM Sistemas won the bid to implement a ERP management system at Senac-DN (National Department). Currently, the MXM-WebManager platform optimizes administrative, financial and accounting operations for more than 3 active users in 23 Senac branches. Follow the features that are highlighted in Senac's operation:

  • Automatic accounting: facilitated and integrated accounting between all branches.
  • Multiple charts of accounts: performs accountability directly to government agencies and provides a management version for each regional supervise your expenses.
  • Cost center freedom: the plans cover public and private accounts and some international accounting rules, guaranteeing the flexibility of operating in the states and carrying out operations in a specific manner, suitable for multiple contexts.
  • Integration features: education systems, reports of BI (Business Intelligence) and payrolls for all integrated and standardized units.

“There are multiple forms of action and projects that MXM has been carrying out together with Senac, in partnership. As much as it is a systems supplier, MXM is a great partner" – He points out Giulliano Rosa.

Specific customizations for Senac:

As it is neither a public nor a private institution, Senac has its own accounting regulations and MXM has adapted to this reality by developing specific applications to adapt the system to the institution's needs, thus strengthening the relationship between the companies.

Giulliano Rosa says that some adjustments were necessary to ensure uniformity in processes and today these implementations favor the adhesion of new states to the MXM-WebManager, which has a reinforced and unique knowledge of Senac's business rules. "The MXM support offers a dedicated team that has the greatest knowledge about the processes […] This way we reduced the calls for assistance and, in parallel, the understanding of the support rules became clearer to Senac consultants dedicated to the products” – Adds the Director.

Check out the activities and resources created to leverage Senac's management:

  • Standardization of the educational system with administrative and financial processes of the institution.
  • Creation of the Travel Management Module;
  • Development of the Customized Budget Module for SOSE (Senac's Budget System);
  • Web trial balance: when the trial balance is closed in each state, the system sends the information to Senac-DN quickly, online and securely;
  • Supplier portal: online quotation being implemented in most regional offices;
  • Customization of the Purchasing Module for Senac, using the regulation for purchases via bidding, direct purchase or price regime, meeting the purchase rules;

“Even if each Senac regional unit acts independently, MXM serves these states precisely because it provides several multidisciplinary benefits. MXM-WebManager is adapted to each individual management model as its flexibility allows for great configuration possibilities. Today there are 24 ways to use the tool, all appropriate to legislation" – Says Giulliano Rosa.

At the moment, MXM is customizing the features of extracting the register of consumables and subsequently sending them to the educational system. According to Giulliano, in the near future it will be possible to compose consumption items and purchase materials for courses offered by Senac, which will be returned to the system as a purchase requisition.

Achievements achieved with MXM-WebManager:

The Director of the Integrated Management System at Senac-MS states that the MXM-WebManager generated positive impacts on administrative processes, in addition to improving the accounting plan of accounts and the composition of the organization's costs.   • Standardization of service and support contracts and levels;
  • Standardization of system versions, resulting in high quality deliveries;

Given this operational context, Senac reduced and shared its costs. With that, the National Department can make a contribution of resources to the smaller regionals for the payment of licenses and maintenance of the system. On the other hand, Senac achieved centralization in data hosting and a better delivery of resources.

"How the operations are being carried out in home office environment, Senac and MXM changed the hosting format and released public access with all security requirements. Thus, other regionals can work without any loss, reducing costs with centralized hosting and cheaper database licenses" – Contextualizes Rosa.
